Audit… audit…AUDITS!!!!

A single word that sends sheer panic traversing through your body with little explanation or rationale

What is an audit?

         Google defines an audit as: an official inspection of an individual’s or organization’s accounts, typically by an independent body.

Who gets audited?

       Most of the time, audits are ordered by an independent entity such as the IRS.  However, other institutions can order an audit. The government at all levels, financial institutions, utility companies, medical administrators, lawyers, or you can order or conduct one.  Many people associate audits solely with the IRS, and they also think, erroneously, that only companies or business owners can get audited by the IRS. The IRS can audit anyone, (individuals, small business owners, or large corporations) at any time.  IRS advised individuals and businesses to keep their records for 3-5 years in case of an audit.

Why do audits get ordered?

         The reason an audit is ordered varies with each institution. A lender can request an audit of a business account to show financial solubility before the business owner assumes the further debt.  When my daughter and I joined forces to purchase real estate, her lender requested that my business had an audit conducted so I can document all my assets, expenses, and reserves to show that the health of my business was not going to be affected by the purchase of the property.

Mortgage companies conduct an audit on 20-25% of the mortgages that are settled every month. The mortgages to be audited are randomly selected.  Most of the time the audit is done within the first two months after settlement, but the audit can be done as late as 12 months. The reason for the audit can be one of a million reasons.  When my daughter and I bought our latest townhouse, our file was flagged for an audit!  In our case, the mortgagor needed to verify I was indeed a realtor licensed in Maryland.  The audit was requested within the two months of us going to settlement.  My employer was contacted in WRITING requesting verification of employment.  A form was filled out confirming my Maryland license, and off it went.

Utility companies as well as other energy conservation companies conduct an audit; local and state government or private citizens may request the audit. The results of the audit will show the efficiency of your systems such as the HVAC, furnace, roof, window seals, frames, ductwork, insulation, etc. The more efficient the systems are, the more money you save.  The benefits of an energy audit far outweigh the cost of having one; the cost of utility audits may be around $250 while audits for tax purposes can be quite costly. Talk to your local utility company for an electricity, gas, or water audit; they may conduct the audit themselves or have recommendations for private service providers.  In the Virginia area, Comfenergy provides utility services. Dominion Power can conduct an audit for you in Virginia as well.

Water audits are usually conducted when a leak is suspected.  About 10 years ago, my mother’s water bill came in at $1500 for a 30-day period.  Needless to say, she was shocked.  The water company came out practically immediately after she contacted them, and an audit was conducted.  The water company had several devices/ tools and chemicals to evaluate the plumbing.  One device measured the water pressure while another looked for air bubbles.  A harmless dye like food coloring was also placed in certain parts of the plumbing to test where the leak was located.   The kids’ favorite test was the flashlight test.  The technician went around the entire perimeter of the house, and then under the house with a heavy-duty, black flashlight shining it against the entire plumbing fixtures.  After three hours of testing the air pressure, looking for bubbles, and confirming there was indeed a leak, the technician and his magical, super slick black flashlight found the source of the leak.  Initially, all you saw was a tiny line on a portion of the pipe, but underneath it was anything but tiny.  The crack was almost a foot long, and the pipe was about three feet underground.  My mom had not seen the water pooling around the house because the pipe was on a slope away from the house.    The technician thought the pipe was an original pipe from 1945!

Many counties conduct water audits around the country on a periodic schedule to preserve our precious assets, especially during times of drought.  The EPA gives counties guidance on how to conduct water audits and how to preserve water.

Gas companies such as Washington Gas will conduct an audit to check for dangerous gas leaks as well as to show you how inefficient equipment is costing you money. Gas leaks are probably the fastest leaks to be noticed given the notorious smell of gas.

What can get audited?

       Administrators may conduct audits of each department to make sure that employees are efficient with their times, production, equipment, and facilities. When I worked at the hospital, my supervisor had to provide a weekly account of how many medical records had been processed, why there were delays, why a medical record had not been processed, who had been assigned to a record, and what records were pending to arrive from or leave to other institutions.  This was just one of her weekly assignments. One of my duties was to keep track of how many of these records had come in and out, as well as how many records had been processed on sight.  Looking at that massive database every day for 9-11 hours was no picnic. She had to maintain accurate records of all activity as a report of it could be requested at any moment but most importantly, if someone complained of their medical record going missing, we had been ready to give an account for it.  Conducting this weekly accountability was crucial for the annual audits conducted to see what programs stayed, what needed to be adjusted, and if any person was no longer needed.

      Hospitals audits can be done for financial accountability as well as for quality service and efficiency of a product.  When surgery is done, certain types of gauzes may be used.  One of the nursers or technicians has the duty to count out the number of gauzes used, retrieved, disposed of, and how efficient/ or strong the gauze is.  It may seem a trivial job but if 10 gauzes were employed, 10 should be accounted for.

Your doctor audits your lab reports, and EKGs to make sure you and your body are functioning properly or to create a health plan.

Law firms can conduct audits for various clients/cases they represent as well as have their files audited to properly document services provided. Hourly charges advising clients or preparing cases are frequently audited. When you are setting up, evaluating, or adjusting our budgets, we are in essence auditing our finances.  Based on this assessment we make decisions for savings, necessary expenses, vacationing, or holiday spending.

When do audits happen?

          Audits can happen at any time. Utilities can fail at any moment; mergers happen frequently, and tax laws are always changing.  Keep your records for at least 3 years, preferable 7 (my opinion).  There are records that I have going back to 1995 when we bought our first home.

What can get audited?

          Anyone and anything can get audited depending on various circumstances.  The most common items that get audited are Financial statements, trust fund records, hours worked, the frequency of a product works/ fails, mortgage loans, and taxes.

What should you audit?

     You should audit your free time, work hours, finances, and budget to secure a balanced life.  Nothing is more stressful than always wondering where your time went, why you carry an endless list of incomplete tasks, and constantly missing deadlines, events, or lacking rest. Lack of financial accountability leads to financial stress, and familial strife but also to unnecessary poverty. About 85% of Americans do not have $500 saved in their bank accounts for an emergency, yet we Americans are the most overwork society (in reference to hours spent at work) and income earned.  Many Americans daily and mindlessly spend money on items that they could easily make at home such as coffee, breakfast, or lunch. The Dalai Lama once said the following quote: “Man sacrifices his health in order to make wealth. Then he sacrifices wealth to recuperate his health.  And then he is so anxious about the future that he does not enjoy the present; the result being that he does not live in the present or the future; he lives as if he is never going to die, and then dies having never really lived.” What a sad yet accurate statement.  We need to evaluate more consciously what we do with our assets, especially those assets that once invested are not recovered such as our time. Just think what you could do with a few more free hours a day…truly free hours, not attached to a TV show or mindlessly scanning social media.  Imagine the memories you would make with your significant other if there was more couple time, your relationship with your children if there were more game nights, more walks through the neighborhood or more community involvement?

Financially we need to make sure we are employing our money in the best, most efficient way. Too many of us live our lives excessively outside of our means adding the constant pressure of bill collectors, defaulting on loans, carrying bad credit debt, low credit scores and history, plus having little in savings.  Let’s strive for balance.

Benefits of an auditing?

       As scary as it may sound especially when the audit is ordered by the IRS, more often than not, the audit will yield points where to improve or correct our lives.  If someone can show us how to recover two hours of your day, every day to be able to get more rest, how grateful would we be? If someone show us, how to keep more your hard-earned money, how much faster could we build your savings/ wealth? Pay debt off? Imagine the weight off our shoulders with a little more discipline!
